Account Information

When you register, we collect your email address and password (stored securely as a hash). You may optionally provide a display name and profile photo.

Guest & Content Data

Any guest profiles, notes, email templates, availability settings, and other content you create within the Service.

Usage Data

Information about how you use GuestFlow, including pages visited, features used, and actions taken. This helps us improve the product.

Payment Information

If you subscribe to a paid plan, payment processing is handled entirely by Stripe. We do not store your credit card number or full payment details on our servers.

Communications

If you contact our support team, we retain those communications to resolve your issues and improve our service.

2. How We Use Your Information

We use the information we collect to:

  • Provide, maintain, and improve the Service
  • Process transactions and send related billing information
  • Send transactional emails (booking confirmations, reminders, account alerts)
  • Respond to your support requests and inquiries
  • Monitor and analyze usage patterns to enhance user experience
  • Detect, prevent, and address technical issues and abuse
  • Comply with legal obligations

We will never sell your personal information to third parties.

3. How We Share Your Information

Service Providers

We work with trusted third-party vendors who help us operate the Service — including Supabase (database infrastructure), Stripe (payment processing), and email delivery providers. These parties access your data only to perform services on our behalf and are bound by confidentiality obligations.

We may disclose your information if required to do so by law, court order, or governmental authority, or if we believe in good faith that disclosure is necessary to protect our rights or the safety of others.

Business Transfers

Your data is stored on secure servers provided by Supabase. We implement industry-standard security measures including encryption in transit (TLS) and at rest, role-based access controls, and regular security reviews.

No method of transmission over the internet is 100% secure. While we strive to protect your data, we cannot guarantee absolute security.

5. Data Retention

We retain your account and content data for as long as your account is active. If you delete your account, we will delete your data within 30 days, except where we are required to retain it for legal, tax, or audit purposes.

You can export your data at any time from your account settings before deletion.

6. Cookies

GuestFlow uses cookies and similar tracking technologies to maintain your session, remember your preferences, and analyze usage patterns. You can control cookies through your browser settings, though disabling certain cookies may affect Service functionality.

7. Your Rights

Depending on your location, you may have the following rights regarding your personal data:

  • Deletion: Request deletion of your personal data

GuestFlow is not directed at individuals under the age of 18. We do not knowingly collect personal information from children. If we become aware that a child under 18 has provided us personal data, we will delete it promptly.
